Role Summary
The On-Field Property Manager is the operational face of Keyper's managed portfolio - responsible for executing move-in/move-out coordination, cheque collection and deposits, and agent/tenant handovers on-site, while ensuring every task is tracked end-to-end in Process St and escalated proactively when blocked. The role sits at the intersection of tenants, landlords, agents, and the Leasing, Finance, and Maintenance teams, and is critical to the accuracy, timeliness, and tenant experience of Keyper's day-to-day property operations.
Key Responsibilities
Efficient Financial Transaction Management - Timely Cheque Collection & Deposits
Collect tenant or landlord cheques on schedule, verify accuracy, and deposit them promptly.
Maintain accurate records in the CRM/financial system, minimising errors or delayed deposits.
Seamless Tenant Transitions - Move-In/Move-Out Coordination & Key Handover
Facilitate move-ins and move-outs, ensuring properties are inspected, documentation is accurate, and tenants receive keys on time.
Coordinate with the Maintenance team and PM to address last-minute issues (e.g. minor repairs, cleaning) before tenant arrival or post-vacation.
Effective Field Coordination for Leasing Operations - Leasing & Agent Handover Support
Assist agents in property handovers, ensuring correct unit access, accurate property details, and smooth introductions to tenants.
Keep all relevant teams (Leasing, PM, Maintenance) updated on each step's progress, especially where issues arise.
Behavioural Attributes - Keyper Values
Beyond task execution, the role is evaluated against Keyper's core values, which define how work gets done:
Data-Driven, Tech-First
Uses Keyper's analytics tools and platforms (Salesforce, Process St, Excel reporting) to make decisions and improve outcomes; identifies data trends to recommend process enhancements.
Committed to Exceptional Experiences
Demonstrates proactive communication and empathy when addressing tenant and landlord needs; consistently earns positive feedback from stakeholders.
Holistic Ownership
Takes full responsibility for assigned tasks from initiation to completion; follows through on issues without requiring follow-ups from others.
Challenging the Status Quo
Suggests solutions or alternatives for process gaps; demonstrates initiative in rethinking outdated norms or systems.
Together for Growth / No Finish Line
Actively collaborates with cross-functional teams (Leasing, Finance, Operations) to achieve shared goals; embraces ongoing learning and seeks feedback to refine performance.
Core Competencies
Field Operations & Time Management
Balances multiple on-site duties (cheque pickups, move-out checks, property handovers) within strict timelines.
Prioritises tasks based on urgency (e.g. immediate deposit deadlines or scheduled tenant arrivals), avoiding logistical overlap or delays.
Communication & Problem-Solving
Speaks clearly and tactfully with tenants, RMs, and agents, rapidly addressing misunderstandings or emerging issues in the field.
Finds workable solutions to unpredicted hurdles (missing keys, incorrect cheque amounts) while minimising disruption to daily operations.
Qualifications
Bachelor's degree or equivalent.
Prior experience in a field-based property management, real estate, or facilities operations role preferred.
Comfortable working on-site across a distributed portfolio, with own transport for site visits.
Working proficiency in Microsoft Office (Excel, Outlook, Word).
Fluency in written and spoken English.
Strong organisational skills with the ability to manage multiple time-sensitive, on-site commitments.
Desired Skills
Working knowledge of CRM/operations platforms (Salesforce, Process St) or willingness to adopt them as the primary system of record.
Strong documentation habits - comfortable logging site findings, communications, and handovers in writing rather than relying on verbal updates.
A proactive escalation mindset: able to identify blockers early, gather facts, and raise visibility across stakeholders rather than resolving issues in isolation.
Prior experience coordinating between multiple internal teams (Leasing, Maintenance, Finance) and external parties (tenants, landlords, agents, vendors).
